Terms of Service

1. Acceptance of Terms

By accessing or using GrassRoster ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the Service. These Terms constitute a binding legal agreement between you and GrassRoster.

Our Privacy Policy describes how we handle personal information.

2. Description of Service

GrassRoster is a platform designed for youth soccer club management. The Service provides tools for:

  • Club and team organization and administration
  • Player roster management, including parent-managed minor profiles
  • Event scheduling, attendance tracking, and calendar sync (ICS feeds)
  • Player development tracking and KPI management
  • Team chat, announcements, and messaging
  • Program enrollments and registration workflows
  • Parent payments for club registrations and team fees (via Stripe)
  • Document and media storage

Early access. During our initial launch period, clubs may use core features without a platform subscription fee. We may offer promotional access (such as extended free periods for founding clubs). We will provide reasonable notice before requiring paid platform plans or changing pricing.

3. Eligibility and Accounts

3.1 Age Requirements

You must be at least 18 years old to create a user account on your own. Minors may have a player profile without logging in; if a minor creates a user account, a parent or legal guardian must consent (for example, through a parent-issued account invite) and remains responsible for the minor's use of the Service.

3.2 Account Registration

To use certain features, you must register for an account. You agree to:

  • Provide accurate, current, and complete information
  • Maintain the security of your password and account
  • Notify us immediately of any unauthorized access or breach
  • Accept responsibility for all activities under your account

3.3 Account Types

Users may have different account types:

  • Club Administrators: Full access to club management features
  • Coaches/Staff: Access to team management and player data for assigned teams
  • Parents/Guardians: Access to their own profile and linked children's profiles
  • Players: Limited access to their own profile and team information

3.4 Minor Player Profiles

Clubs may maintain roster entries for minor players who do not have login credentials. Parents and authorized club staff may create and update those profiles according to club policy. Parents may grant or revoke optional self-service permissions when a minor has a linked account.

4. User Conduct and Responsibilities

You agree not to:

  • Use the Service for any illegal purpose or in violation of any laws
  • Post or transmit content that is abusive, harassing, defamatory, obscene, or otherwise objectionable
  • Upload viruses, malware, or other harmful code
  • Attempt to gain unauthorized access to the Service or other users' accounts
  • Interfere with the proper working of the Service
  • Scrape, crawl, or use automated means to access the Service
  • Collect or harvest personal information of other users without consent
  • Use the Service to send unsolicited communications (spam)

4.1 Parental Responsibility

Parents and guardians are responsible for monitoring their children's use of the Service, ensuring appropriate behavior, and managing permissions for linked minor accounts.

4.2 Club Administrator Responsibility

Club administrators are responsible for managing club data, configuring enrollments and fees, ensuring appropriate staff access, and complying with applicable regulations regarding youth athlete data.

5. Content and Data

5.1 Your Content

You retain ownership of content you upload to the Service (photos, documents, messages). By uploading content, you grant GrassRoster a license to store, display, and process your content as necessary to provide the Service to you and your club/team members.

5.2 Club and Team Data

Club administrators control access to club and team data. By participating in a club or team, you acknowledge that certain information (such as roster information, attendance, and team communications) will be accessible to other members of that club/team.

5.3 Data Accuracy

You are responsible for ensuring the accuracy of information you provide, particularly regarding medical information, emergency contacts, and other critical data.

6. Payments and Billing

6.1 Club Registration and Team Fees

Clubs may charge registration fees, installment plans, and team-related payments through the Service. Payments are processed by Stripe. GrassRoster facilitates the transaction between parents/guardians and the club; the club is responsible for setting prices, refund policies, and compliance with applicable payment laws unless otherwise stated in a separate agreement with GrassRoster.

6.2 Stripe

Card and bank payment details are collected and stored by Stripe, not GrassRoster. Your use of Stripe payment features is also subject to Stripe's terms and privacy policy. Clubs connect a Stripe Express account to receive payouts where Connect is enabled.

6.3 Platform Subscriptions

GrassRoster may offer paid subscription plans for clubs to access the platform. Pricing, trials, and promotional periods (including founding-club offers) will be disclosed before you are charged. Failure to pay applicable platform fees when required may result in restricted access after notice.

6.4 Refunds and Disputes

Refund requests for club registration or team fees are generally handled between the parent/guardian and the club according to the club's policies. GrassRoster may assist with technical payment issues but is not the merchant of record for club fees unless explicitly stated.

7. Intellectual Property

The Service and its original content, features, and functionality are owned by GrassRoster and are protected by copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, or create derivative works based on the Service without our express written permission.

8. Termination

8.1 By You

You may request closure of your account at any time by contacting us at [email protected]. We will remove or deactivate your personal profile data from active systems within a reasonable period, though some data may be retained in backups, payment records, or for operational continuity of clubs/teams you participated in.

8.2 By Us

We may suspend or terminate your account if you violate these Terms, engage in fraudulent or illegal activity, or if required by law. We will provide notice where possible.

8.3 Effect of Termination

Upon termination, your right to use the Service immediately ceases. Provisions of these Terms that by their nature should survive termination will survive.

9. Disclaimers and Limitations

9.1 Service Availability

We strive to maintain Service availability but do not guarantee uninterrupted access. The Service is provided "as is" without warranties of any kind, either express or implied.

9.2 Limitation of Liability

To the maximum extent permitted by law, GrassRoster shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from:

  • Your use or inability to use the Service
  • Unauthorized access to or alteration of your data
  • Statements or conduct of any third party on the Service
  • Any other matter relating to the Service

9.3 Assumption of Risk

You use the Service at your own risk. GrassRoster is not responsible for decisions made based on player data, statistics, or recommendations within the platform. Coaching decisions and player welfare remain the responsibility of qualified club staff.

10. Indemnification

You agree to indemnify and hold harmless GrassRoster and its officers, directors, employees, and agents from any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with:

  • Your access to or use of the Service
  • Your violation of these Terms
  • Your violation of any rights of another person or entity
  • Your content posted on the Service

11. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to conflict-of-law principles. Any dispute arising from these Terms shall be resolved through good faith negotiation, and if necessary, through binding arbitration or litigation in the appropriate courts.

12. Changes to Terms

We may modify these Terms at any time. We will provide notice of significant changes through the Service or via email. Your continued use of the Service after changes constitutes acceptance of the updated Terms.
